Meeting called to order 1:03pm by Chairman, Ralph Meier.
- Money and new Memberships (Rich, treasurer)
- National is trying to encourage motivation for new memberships. Yippee! When chapters gather new members for National, there will be a monetary kickback to the chapter. (i.e. if a student joins Surfrider at the student rate of $15, OR Surfrider would receive $5).
- Rich is looking for one of the light blue tri-fold Oregon chapter donation/info forms to take to Kinko’s. He would like to make up fliers for everyone to distribute, but the master has been lost. Oh no! Anyone who has a flier, please contact Richard Gabriel at richieg@cyber-dyne.com.
- Anytime money comes into the Oregon chapter a thank you letter should go out. A copy of the letter is kept on file. The letter is the receipt. Any donation over $5000 needs to go through National. Please contact Rich with any questions about this or requests for thank you letters.
- When members sign up with National they fill out a form that OR gets with name, address, phone, and what they are good at/how they can contribute to OR Surfrider. Rich has been hoarding them, he will henceforth pass them along to Dave/Volunteer Coordinator, who will make a list of members and their interests. Billy and Dave together (both Portland locals now) will organize the membership/volunteer list and give an update at the next meeting.
- Rich has been and will continue, requesting updated OR member lists from National. These lists will be forwarded to Dave.
- Kimmie will organize and contact folks from Portland meeting/fundraiser sign up lists. (Tina will keep originals and email Kimmie computerized list.)
- Treasurers report (Rich, treasurer)
- There are 211 supporters in Oregon, that we know about.
- We have $1440 in the bank. Plus $63 from Billy from Imagine showing at Salvador Molly’s in Portland.
- Shirts. Billy is the only one with shirts. He has National and Oregon shirts. He will count all Oregon shirts and report back at the next meeting.
- All quarterly treasurer reports are prepared, final financial report will be done at the end of the year. We are all up to date. Way to go Rich!
- May conference: We had $1000 allocated, we spent $1200, we got $600 back in raffle tickets, etc. We need to check if we still have conference money that needs to be spent. We had also proposed a Fall recruitment event which did not happen, although there was a Portland fundraising event at All Surf Industry at which donations were accepted and T-shirts were sold. A letter needs to be sent to national stating how the money for the May conference was spent. Rich has exact information in the checkbook. Rich will write letter, Ralph will sign it. It is due 31 December 2000. (John)
- Fundraising
- Dawn Wright at the University of Oregon has written a book called Coastal and Marine GIS. Part of the contract with the publisher is that a portion of the proceeds go to Oregon Surfrider. Ralph will write and email a thank you letter. Rich will send forward of the email he received from Dawn to Ralph so he has email address. (John)
- Salvador Molly’s in SW Portland is toying with the idea of a Surfrider club punch card. By being a member you get a card. For every meal you eat, you get a stamp. After a certain number of stamps you get a free meal. It was also suggested that we be a sponsor of the business and therefore get to put up our Surfrider banner. (Scott’s so super cool he’ll probably let us do it regardless.) Surfrider would get one half of one percent of profits. Billy will continue communication with Scott of Salvador Molly’s on this issue.
- The Portland crew has been gathering lots of support. Yippee! Art work has been donated to give away at meetings; ASI, Jimmy Macs and Salvador Molly’s have been extremely generous with time, energy, and space for fundraisers and meetings. The next Portland meeting has tentatively been set for Tuesday 2 January 2001, 7pm(?) at Salvador Molly’s. Billy will connect with Scott about this and then get back to everyone.
- Movies are an easy and cheap way to make money. Billy is trying to get
a copy of the re-release of Lost Island of Satasha, and one other video,
for a fundraiser in Portland. John suggested getting a band, Rich counter-suggested
a PA system and CDs for dancing and hanging after the videos. Other suggested
flicks: Evolution, Sea of Joy.
- It was suggested to also have a video showing at the coast and invite local legends such as Gerry Lopez, The Greek, Greg Noll.
- It was also suggested that we focus on one main event a year and do it well. (Rich) It was also commented that we really need a point person for tasks so that we know who is responsible for what. (John)
- Meetings
- It was suggested that board meetings occur once every four months, with regular meetings once every 2 months. Billy will write a list of Oregon members to Ralph, who will invite all Oregon members to the next meeting.
- Retreat
- Tentative date: Feb 10-11, 2001, in Pacific City. It has been requested that all board members be present at this retreat, please contact Ralph with your RSVP or with any conflicts you have so that we can discuss other dates.
- Ralph will secure houses, and confirm once the date has been OK’d by all board members.
- Please bring a potluck dish to share (Tina will bring dessert, yumyum!!)
- Goals: Reorganization. Review of responsibilities. OR Surfrider vision. 01-02 projects. Prepare for annual open meeting.
- Discuss possible projects for the year: 1) Water quality testing with PJ Colson and Phil, 2) Cataloging all outfalls along the coast, 3) Open forum/General Surfrider OR meeting, 4) Should we encourage the state parks to purchase land on the front part of Cape Kiwanda. Should this be a letter writing campaign? What about Frankport?
- Changes to the board
- John Marra and Paul Klarin resigned from their responsibilities as Vice-Chair and Secretary respectively. This motion was made and seconded.
- It was motioned and seconded that the following members be added to the board:
- Billy Hagerman, co-chair (Portland contact)
- Chris Pancila, vice-chair
- Tina Torri - Secretary
- In addition Kimmie Gilbert agreed to be the Portland membership co-ordinator for fundraisers and meetings. This is in addition to having Dave Revell as volunteer coordinator for the Oregon chapter.
- Cape Kiwanda Longboard Contest
- Bob Ledbetter is totally cool and lets us put up our banner at the contest.
- We will offer to provide judges for Bob Ledbetter this August 2001, for the contest. Billy and Ralph will speak with Bob and report back at the next meeting.
- We will encourage him to discuss with us any other ways we can be of assistance.
- Frankport
- Per Gregory Harrison, South Brothers has sold the Frankport property and it was discussed that we should write a letter to the new owners regarding the tax/liability forgiveness program.
- Steve/Ralph will draft a letter and send it around to the board for input.
